Documents and Records
Every screen in Nama ERP saves one of two things: a document — something that happens on a date, such as an invoice or a voucher — or a master file that documents point at, such as a customer or an item. These pages cover the machinery the two share: how a document moves from draft to committed and back, where its number comes from, how master files are coded and grouped, what you can attach to a record, and why the system sometimes refuses to save or delete one.
How Records Behave
The Life of a DocumentDraft, commit, approval, revise, cancel — the states every document passes through and what each one allows.Document BooksThe numbering series every document draws its number from — prefixes, serials, yearly resets, and the behaviour a book imposes on its documents.Document Cancel DocumentThe only way to take a committed document back — what it reverses, what refuses to be cancelled, and how to restore one as a draft.Recovering and Finding RecordsThe Recycle Bin — what lands there, previewing and restoring a deleted record, and how the bin is emptied — and All Records, every live record of every type in one list.Master GroupsThe master-file twin of a document book — it codes customers, items and the rest, and files them into the tree beside every list.AttachmentsStoring files on a record: header and detail-line attachment fields, scanning and signatures, and where the bytes are kept.
When the System Says No
Why a Record Will Not Save or DeleteEvery delete and edit refusal in the order the system checks them, including the used-mark on books and parties and the hidden action that clears it.Messages and RefusalsThe messages any screen can raise — permissions, licence, periods, budgets — and where the answer to each one lives.
Spare Documents and Files
Empty documents and files kept back for the one-off thing a single customer needs.
Form Documents — the Escape HatchSixteen deliberately empty documents you can turn into whatever one-off thing a single customer needs — and when to call development instead.Spare Master FilesThe same escape hatch for files rather than documents — five spare subsidiaries that post to the ledger, and the remarks family.
